Membership Duration & Payment

Membership is valid for 12 months from the date of approval or the establishment of the Direct Debit mandate. Payments are processed upon approval. Membership remains inactive until the Direct Debit setup is complete.

Helping Out Programme Policy

The Helping Out Programme (HOP) is integral to the success of London Dynamo, ensuring that all members contribute fairly to fulfilling the club’s obligations to organisations such as British Cycling, the Surrey League, and Cycling Time Trials, as well as to the organisation of our own events and rides.

Participation in HOP is compulsory for all members, just like wearing club kit on rides. This collective effort allows the club to offer a wide range of activities, events, and races throughout the year. Without HOP, these opportunities and the foundation of grass-roots cycle sport would not exist and the club would be poorer as a result.

Please ensure you read the Helping Out Programme page on our website for full details along with the FAQ’s.

Social Media and Image Consent Policy

Respecting Member Privacy & Safety Online

As part of our commitment to building a vibrant and engaged club community, London Dynamo uses its social media platforms and other digital media platforms to showcase the energy, achievements, and camaraderie of our members. We regularly capture photos and videos during club rides and events to help promote cycling, celebrate milestones, and inspire participation.

Photography and Video Recording

  • Photos and videos may be taken at club events, including rides, races, coaching sessions, and social gatherings.
  • These may be used on official London Dynamo platforms, including:
    • Instagram, Facebook, Twitter/X, Strava, WhatsApp groups
    • The London Dynamo website, newsletters, and event promotions (including partner collaborations)

Consent and Opting Out

London Dynamo operates on the basis of assumed consent for the use of images and videos taken during club events, rides and activities. This means we may include photos or footage of members in our social media and communications by default, unless a member actively chooses to opt out.

We understand that not everyone is comfortable being featured, and we fully respect your right to privacy.

If you prefer not to appear in any images or video content shared publicly or internally:

  • Please notify the Club Secretary, Welfare Officer, the photographer or Ride Marshal/Ride Leader at any time.
  • Your preferences will be recorded and fully respected.
  • Members can update or withdraw consent at any time without giving a reason.

Special Considerations for Minors (Under 18s)

In line with the Online Safety Act 2023 and best safeguarding practice:

  • No photographs or video footage of under-18s will be shared publicly without written parental or guardian consent.
  • Even with consent, minors will not be named or tagged in social media posts.
  • Any images that could compromise a minor’s safety or identity (e.g., showing a location, school logo, or home address) will not be used under any circumstances.

Safeguarding & Online Safety

  • Images and videos will only be shared by authorised club representatives
  • We will not publish any content that could cause embarrassment, distress, or put a member at risk.
  • Members should not share photos of others online without their knowledge or consent.

If you see content online that concerns you, or have any safeguarding worries, please contact the Welfare Officer immediately. Reports will be handled confidentially.

Anti-Doping Policy

As a club affiliated to British Cycling, London Dynamo is subject to the World Anti-Doping Agency’s rules and regulations. This means that all members are subject to testing for prohibited substances and performance-enhancing drugs, whether they race or not.

Members should familiarise themselves with the WADA Code and UK Anti-Doping. Members are also strongly encouraged to use the Global Drug Registry to check all medicines (either note the reference number of your search or take a screenshot) and the Informed Sport website to check batch-tested supplements (again, you must keep a record of your search).

The club has a zero-tolerance approach to doping but we are committed to assisting members with doping-related issues. We have a number of UK Anti-Doping accredited advisers who can be contacted in strict confidence. In the first instance, please contact our Welfare Officer.

CODE OF CONDUCT

London Dynamo’s Code of Conduct is designed to create a culture of good practice and good conduct when riding.

KEY PRINCIPLES OF THE CODE

As a member of London Dynamo, you represent London Dynamo.

London Dynamo expects its members to behave in a way that demonstrates respect for other members and other road users.

The Code is not an exhaustive list of do’s and don’ts but summarises the core principles that members should adopt. The Code is designed to ensure the safety and well-being of all Club members and to both protect and enhance the reputation of the Club in the wider community.

Group Riding Etiquette & Safety

London Dynamo provides a varied programme of rides of varying pace. Distances, speeds and destinations of rides are generally shared on the club Forum, our club WhatsApp Community and are displayed on the club website.

For the safety and benefit of the club and its members, riders must always adhere to the Highway Code and act in a respectful manner to fellow Club members and all other cyclists and road users.

Club rides are not races and members are expected to treat them appropriately. When riding as a club we must:

  • Always, ride safely, considerately and courteously (even when provoked by other people’s rude or dangerous behaviour).
  • Wear club kit on club rides and when representing the club at races and sportives.
  • Always ride a well-maintained bike and wear a helmet.
  • Unless racing, always carry a spare inner tube, tyre levers and a pump or gas.
  • Learn and use all common hand signals and use verbal warnings when riding on the road or racing.
  • Respect the ride leader’s instructions.
  • Ride no more than two abreast unless overtaking. On busy or narrow roads consider riding single file if appropriate and safe to do so.
  • Anticipate traffic and allow enough time for the entire group to negotiate obstacles. Should the group be split, riders should slow down or find a safe place to stop and reform before proceeding.
  • Stop when riding in a group and assist any of its riders suffering from mechanical or physical problems.
  • Wait for the last rider, unless the rider has requested to be left, or an agreement made with everyone’s consent, that the group will not wait for dropped riders.
  • Not leave the group without first notifying other riders, preferably the ride leader.
  • Not jump red lights (this includes riding to/from the meeting point for a Club Ride when wearing club kit) – see detailed policy below
  • Not ride with earbuds and/or earphones – see detailed policy below
  • Not drop or leave any litter on any part of your route. Please dispose your litter responsibly at an appropriate place or bin – see detailed policy below
  • Not leave any rider behind if they suffer a puncture or a mechanical failure – see detailed policy below
  • Not spit or clear noses while riding in a group or in close proximity to others. However, we understand that some members may need to cough, spit, or clear their airways due to medical conditions such as hayfever or allergies. In such cases, this must be done safely, discreetly, and well away from others to avoid any risk or offence to fellow riders or members of the public. London Dynamo operates a strict no-spitting policy during all rides and club activities.

Red Light Jumping (RLJ) Policy

Purpose

The purpose of this Policy is to ensure the safety of all London Dynamo members and to promote adherence to the Highway Code. Running red lights is dangerous and illegal. This policy outlines the consequences for members who are observed or reported jumping red lights during club rides or outside of club rides but wearing identifiable London Dynamo club kit.

Policy
  1. Definition of Red Light Jumping: Red light jumping is defined as any instance where a cyclist crosses an intersection or proceeds through a red traffic signal without stopping and waiting for the light to turn green.
  2. Expectations: All members are expected to obey all traffic signals and laws while participating in club rides or at all times when riding in branded club kit. Members should set a good example for other road users and promote safe cycling practices.
  3. Observation and Reporting: Red light jumping can be observed by ride leaders, other club members, or verified third-party reports (e.g., video evidence or reports from traffic authorities). Any member who observes another member jumping a red light should report the incident to the club committee with as much detail as possible, including the date, time, and location of the incident.
  4. Penalties
First Offense: The member will receive a formal warning from the club committee. They will be reminded of the importance of adhering to traffic laws and the potential dangers of red light jumping.
Second Offense: The member will be suspended from participating in club rides and activities for a period of one month. During this time, they are encouraged to review safe cycling practices and local traffic laws.
Third Offense: The member will face a more severe penalty, which may include a longer suspension (up to six months) or permanent expulsion from the club, depending on the severity and circumstances of the violations.
  5. Appeal Process: Members who receive a penalty have the right to appeal the decision. Appeals must be submitted in writing to the club committee within 14 days of receiving the penalty notice. The club committee will review the appeal and make a final decision within 30 days. The decision of the club committee is final.
  6. Education and Prevention: The club will provide regular reminders and educational resources about the importance of obeying traffic signals and the dangers of red light jumping. Ride leaders will periodically brief participants on safe riding practices before group rides.

Cycling with Headphones or Earbuds Policy

Purpose

To ensure the safety and enjoyment of all members during Club rides, this Policy addresses the prohibition of wearing headphones or earbuds while cycling whilst engaged in all club cycling activities. Maintaining awareness of surroundings is crucial for preventing accidents and fostering a cohesive riding environment.

Policy
  1. No Headphones or Earbuds: Members are strictly prohibited from wearing headphones or earbuds during all club rides. This includes any device that may obstruct hearing, such as wireless earbuds, wired headphones, or bone conduction headphones.
  2. Safety First: Members must prioritise safety by ensuring they can hear approaching traffic, verbal cues from fellow riders, and other environmental sounds. This heightened awareness helps in making quick decisions and reacting appropriately to potential hazards.
  3. Communication: Effective communication is key to group cycling. Members are encouraged to use hand signals, verbal warnings, and other non-verbal cues to maintain group cohesion and alert others to changes in speed, direction, or hazards.
  4. Accountability: Members found wearing headphones or earbuds during club rides will receive a warning for the first offence. Continued violations may result in suspension or expulsion from the club, depending on the severity and frequency of the infractions.
  5. Responsibility of Ride Leaders: Ride leaders and/or Ride Marshals are responsible for ensuring that all participants adhere to this Policy. They have the authority to remind members of the policy and enforce consequences for non-compliance.

Anti-Littering Policy

Purpose

At London Dynamo, we are committed to preserving the beauty and cleanliness of the environments where we ride. As cyclists, we recognise our responsibility to minimise our impact on the environment and set a positive example for others.

Policy
  1. Zero Tolerance for Littering: Members must not discard any litter, including food wrappers, water bottles, or other waste, during rides or events.
  2. Carry In, Carry Out: All members are required to carry their waste with them until it can be disposed of properly in designated trash or recycling bins.
  3. Report Littering: Members are encouraged to report any littering incidents to the Club Committee. This helps us address issues promptly and maintain our commitment to a clean environment.
  4. Lead by Example: As representatives of London Dynamo, members are expected to lead by example, demonstrating responsible behaviour whilst cycling.
  5. Consequences for Violations: Any member found to be in violation of this policy may face disciplinary action, including potential suspension from club activities.

Puncture and Mechanical Failure Policy

Purpose

At London Dynamo, we prioritise safety, and mutual support on all our rides. This Puncture and Mechanical Fail Policy outlines our club-wide expectations when a rider experiences a puncture or mechanical issue during a group ride.

Policy
Group Responsibility

If a rider in a group suffers a puncture or mechanical failure:

  • All riders in the group must stop in a safe place, off the road where possible.
  • No rider is to be left behind without mutual agreement and clear arrangements in place.
Assessment and Assistance

Once stopped:

  • The group should help assess whether the issue is fixable roadside.
  • If it is a simple fix (e.g., tube replacement, minor adjustment), the group shall assist where needed and wait for the repair to be completed.
  • Riders are encouraged to carry their own tools and spares, but assistance from others is always appreciated.
Non-Fixable Issues

If the mechanical issue is not fixable on the roadside:

  • The group should help the affected rider make alternative plans to return home safely.
  • This could include:
    • Helping them arrange a taxi or lift.
    • Directing them to the nearest train station or public transport option.
    • Waiting with the rider until their onward travel is confirmed and safe.
Communication
  • If the rider is being left behind by mutual agreement (e.g., waiting for a pickup), ensure they have a working phone, water, and are in a safe location.
  • Let other groups or the ride leader know what has happened if relevant.

This policy reinforces our ethos that no rider should be abandoned in the event of a mechanical or a puncture. Supporting one another on the road is what makes London Dynamo such a fantastic and supportive community.

Behaviour of Club Members

London Dynamo expects its members to behave in a way that demonstrates respect for other members and the public. It also wishes to operate in an environment that is free from harassment or discrimination. To this end, and as we are a club affiliated to British Cycling, London Dynamo members must read and comply with the British Cycling Equality, Diversity and Safeguarding policies.

In addition, the club will not tolerate:

  • Damage to or theft of any person’s property.
  • The use or encouragement of the use of banned substances (as outlined in the UCI anti-doping policy)
  • Any act of abuse, violence, intimidation, bullying or harassment against another club member, another rider or member of the public, including those in breach of the British Cycling Equality and Diversity Policies.
  • Any act that is deemed to be illegal whilst participating in a club organised activity.
  • Riding in or to/from a club activity whilst under the influence of drugs or alcohol and not being in proper control of the bike.
  • Ignoring the requests or instructions from officials such as the Police.

Online Platform Moderation Policy

London Dynamo is committed to maintaining a safe, respectful, and inclusive digital environment across all of its online platforms.

This policy outlines our approach to moderation in accordance with the Online Safety Act 2023, including how we handle harmful content, protect vulnerable users, and manage reports or complaints.

  • Harmful content, including abuse, discrimination, harassment, misinformation, or illegal material, is strictly prohibited and will be removed.
  • Moderators (appointed committee members) may take down content, issue warnings, or suspend access where necessary.
  • Members are encouraged to report inappropriate posts to a moderator or the Welfare Officer. Reports are treated confidentially.
  • Special protections apply to under-18s; direct private messaging and sharing of minor-related content without consent is not permitted.

This policy is reviewed annually or as legislation evolves and applies to all members and guests participating in or accessing the following platforms:

  • London Dynamo Forum (Discourse)
  • Instagram

  • Protect children and vulnerable individuals from online harm.
  • Provide clear procedures for addressing breaches.

  • Moderators (designated Committee Members) are responsible for monitoring club platforms. The Communications Manager is the designated lead Moderator at London Dynamo. He/she may nominate further Moderators as necessary.
  • Moderators may remove content and issue warnings or suspensions as needed.
  • The Welfare Officer is the designated lead for Safeguarding and can be contacted in confidence for any safety or welfare concern.

Prohibited Content

The following are strictly prohibited and will result in removal and possible further action:

  • Illegal content (e.g., hate speech, threats, child sexual abuse material, incitement to violence).
  • Discrimination, harassment, or bullying based on race, gender, sexual orientation, religion, age, or disability.
  • Personal attacks, flame wars, or targeted abuse.

Digital Messaging Apps and the Forum Policy

Your fellow members are a friendly and helpful group of people. Please remember, though, that people of all ages and backgrounds use our Forum and digital messaging apps, so stick to common sense conventions with regards to language.

  • Opinions can be expressed in diverse ways but please do not make personal attacks or engage in flame wars (long, abusive exchanges) as it inhibits debate and creates bad feeling. If in doubt, ask yourself: would I be comfortable saying this to their face? If the answer is no, do not post it.
  • Avoid swearing.
  • Offensive posts will be immediately removed. For the avoidance of doubt, this includes any post that discriminates based on race, gender, religion or disability.
  • A request for a post to be removed or edited simply because you disagree with what a member has said or the way it has been expressed is likely to be ignored. Dislike and offence are different. If in doubt, ask yourself if the basis for your complaint falls into any of the above categories.

Posting to Club Online Platforms Policy

To maintain a focused and respectful environment across all our club communication channels, the following policy applies to the London Dynamo Forum, WhatsApp Community, Facebook, Twitter/X, Discord, and Strava Club Pages:

  • Club-Relevant Content Only: All posts and shared content must be directly related to London Dynamo club business, including club activities, events, rides, and topics specifically relevant to our members.
  • No Promotion of Other Clubs or Race Teams: Content relating to other cycling clubs or race teams—such as events, sponsorships, fundraising, recruitment, or promotions—is not permitted unless approved by a London Dynamo Committee member.
  • Committee Approval for Exceptions: If you wish to share information relating to external cycling clubs or race teams, you must first obtain permission from a member of the London Dynamo Committee. Approval must be granted before posting.

Platforms Covered: This policy applies to all official London Dynamo online platforms, including but not limited to:

  • London Dynamo Forum
  • Club WhatsApp Community
  • London Dynamo Facebook
  • London Dynamo Twitter/X
  • London Dynamo Strava Club Page
  • London Dynamo Discord App

Enforcement: Moderators and committee members reserve the right to remove content that does not comply with this policy.

Grievance and Disciplinary Process

The Committee shall be responsible for disciplinary hearings of members who infringe the Club’s Constitution / Code of Conduct and for disciplining members following such hearings.

As to disciplinary hearings:

  • All complaints regarding the behaviour of members should be notified to the Club Secretary in writing as soon as reasonably practical. The member or members involved would normally be asked to explain what had happened to an investigation team, comprised of members of the Committee, to investigate what happened and make recommendations.
  • The Committee will consider any complaints at the next committee meeting due to be held after notification of the complaint.
  • The Club occasionally receives feedback on its website, via social media or directly to Committee members about the conduct of its members on Club rides. Most of these are of a minor nature and do not require in-depth investigation. If some action is required, it will probably be to ask the member(s) involved to address the issue and if appropriate take action to stop the incident happening again.
  • For more serious issues, especially involving safety and/or abuse violence, intimidation, bullying, harassment, or discrimination of any kind, the member or members involved would normally be asked to explain what had happened to an investigation team, appointed by the Committee, to investigate what happened and make recommendations. These would be discussed between the Committee members, if necessary, at a specially convened Committee meeting. Any proposed actions would have to be approved by the Committee. Any Club member who was involved in this disciplinary process would have the right to bring as much evidence to the investigation team (including witnesses) as they felt necessary to support their position in the case of a dispute. The investigation team would also be able to consult widely and gather as much evidence as is necessary to understand and resolve the issue.
  • The Committee’s decision as to disposal of the complaint shall be notified in writing to the person who made the complaint and the person complained about within 7 days of such decision being taken.
  • Appeal against the decision of the Committee may be made to a panel consisting of three Club members appointed by the Club Welfare Officer. Normally, if the breach was the first of its kind and of a relatively minor nature, the individuals concerned would be requested to take the appropriate remedial action and would suffer no further consequences. A repeat of the breach, or a more serious incident might trigger the issuing of a written warning to those who were deemed to be responsible for the breach. Very serious offences can result in suspension, expulsion from the Club and, if necessary, involvement of the Police.
  • The Club Welfare Officer shall be responsible for ensuring the fair conduct of disciplinary hearings and shall not have a vote.

Guest Rider Policy

Inviting a Non-Member on a Club Ride

London Dynamo welcomes the cycling community and allows members to invite guests on certain club rides under specific conditions. This policy is designed to ensure the safety of all participants, preserve the quality of our group rides, and support the club’s welcoming culture.

Once the guest has completed their ride or within a reasonable time thereafter, they should be encouraged to join London Dynamo. They are still obliged to complete a Newcomer Ride if they wish to join after a Guest Ride. There are some exceptions to this rule (see below) and if in doubt, please contact the Ride Captain or the Membership Secretary.

Exceptions: experienced riders holding a British Cycling 3rd category or higher racing licence are permitted to join as a guest on a single ‘taster ride’ without needing to be introduced or chaperoned by an existing member on any WNR or HITTR rides. This must be by prior arrangement as we discourage ‘taster riders’ just turning up unannounced on the day. The Ride Leader or the most experienced club rider in the group will be responsible for managing these guests. Before the ride, ‘taster guests’ must receive a comprehensive safety briefing. Additionally, their details (name, contact information, and British Cycling credentials) must be recorded prior to the ride and shared with Membership. It is also essential to retain contact information in case of any incident during the ride that requires reporting – a ‘taster rider’ cannot ride anonymously. The guest will be asked to leave the ride if the high safety standards of the club are not met by that rider. Repeat taster rides are not to be approved (unless by prior arrangement with a member of the club Committee). After the ride, the guest should be encouraged to join the club.

Who Can Invite a Guest?

Any current club member in good standing may invite one guest per ride. We discourage any randoms just turning up on the day and requesting to ride along as a test ride.

The guest must be known personally to the member, and the member must be able to vouch for the guest’s riding ability, group ride etiquette, and behaviour during the ride.

Which Rides Permit Guests?

Guests are welcome on the following official club rides:

  • Sunday Rides (all groups)
  • Midweek Rides (Tuesdays & Thursdays)
  • Women-Only Saturday Rides
  • WNR (Wednesday Night Ride) – fast riders/racers only

Rides Where Guests Are Not Permitted

  • Saturday Park Ride
(due to high participation and safety considerations)
  • Midweek Coaching Sessions
(require prior registration and are for members only)
  • Club Sportive and Social Event Ride-outs
    (unless by prior arrangement)

Guest Ride Conditions

To ensure a smooth experience for all:

  • Advance Permission Is Required
The member must email or message the Ride Captain of the relevant ride group at least 48 hours in advance to request permission for their guest to attend. Approval is at the discretion of the Ride Captain and may be refused if the ride is at capacity or if weather or route conditions make guest participation unsafe.
  • Member Responsibility
The hosting member must accompany their guest on the ride. The member is responsible for ensuring their guest follows the London Dynamo Group Riding & Etiquette Guide and behaves in a manner consistent with club values.
  • Guest Insurance
Guests ride at their own risk and are not covered by London Dynamo’s insurance. Members are strongly encouraged to ensure their guest has their own third-party liability insurance (e.g., through British Cycling or another provider).
  • No Repeat Attendance Without Joining
A guest may only attend as a guest once (one ride) per calendar year. If they enjoy the ride and wish to return, they must book a space on a Newcomers Ride and follow the normal joining process.

Other Notes

  • Guests must bring a roadworthy bike, helmet, and appropriate clothing/equipment for the weather and pace group.
  • Guests should be comfortable riding in a group and follow ride leader instructions at all times.
  • Any concerns during or after the ride should be reported to the Ride Captain or Welfare Officer.

If you have any questions about this policy or wish to invite a guest, please contact the Ride Captain or the club’s Membership Secretary.

INSURANCE POLICY

Membership of the club does NOT provide you with insurance of any sort. We strongly suggest (and insist for Youth & Juniors) that all members have at the very minimum 3rd party insurance. Insurance Cover is available from British Cycling, London Cycling Campaign or Yellow Jersey. There are many other options so please shop around.

  • Kit Allowances:
    • Category 2 Racers: One club jersey and one pair of shorts (or equivalent).
    • Category 1 / Elite Racers: Two jerseys and two pairs of shorts (or equivalent).

This policy is reviewed annually and may be amended in line with club priorities and available resources.
